      There, all caught up.

      Now, I dont have all the information.
      But This has been an ongoing situation - Where we set the taxes and then they tell us it's wrong after a while.
      My boss wants a form to give to the sites to have them sign off and take the "liability" off of us - which Doesn't make sense to me, But at any rate, Im looking for suggestions.

        Not really. THey are a service provider that is responsible for setting the tax rates into the system they are providing.

        Assuming that they screwed up, and did not put things in correctly, then the client should not be on the hook to pay for that.

        I don't do PoS, systems, but I (re)wrote a billing system for one client that bills out millions of dollars of fuel a day. Then it generates a ACH file that is sent to their bank that instructs the bank to automatically take the money from their customers' accounts.

        Then reports are generated in our system and sent tot he client's accounting system so they can send the various tax payments to the entities that are supposed to get it.

        The initial setup and verification that all the taxes were being applied correctly was ghastly. Yes we have it in writing that everything worked correctly.

        We also designed it that the client is responsible for yearly tax rate changes.

            Generic? Hell no.

            SELECT COUNT(*) FROM Taxes = 174
            SELECT COUNT(*) FROM TaxOnTaxes = 13

              I've had to deal with taxes and POS systems, but only for a single state (Ohio). Every county has a different tax rate here, and some school zones add an extra bit as well. The company I supported this for had multiple locations, but was all within a single jurisdiction tax wise. That made managing things manageable. They still changed just about every year, but it was a once a year change.

              Is part of the contract your customers sign having you manage their tax rates in the POS system?

                The contract they sign doesn't have anything about taxes in there.

                However we are the pos supplier/reseller/vendor for these sites, during installations we are responsible for the tax rate being set up correctly all across the US .
                What the issue is - "They dont catch the tax rate being wrong and then we have to pay them back for the taxes not correctly charging/collecting"

                My boss wants an agreement (sort of like Jared, I think) to show that they are agreeing to the current tax rate settings and that they are correct so that it puts the liability back onto our customers, I guess. I dont really know.

                I just dont know how to write it up .
